How we collect, use and look after the personal information of the candidates, clients and visitors we work with.

Last updated 10 September 2026

Who we are

Inspire Medical is a specialist medical recruitment agency placing doctors, nurses and healthcare professionals in locum, fixed term and permanent roles across Ireland and the United Kingdom. For the purposes of the General Data Protection Regulation (GDPR) and the Data Protection Act 2018, we are the data controller for the personal information described in this policy.

This policy covers our website, inspiremedical.ie, and the information you give us when you contact us about a vacancy or a staffing need. It applies to candidates, to the people we deal with at hospitals, practices and care providers, and to anyone who visits the site.

The information we collect

Information you give us

This website has no forms. Everything you share with us, you share by emailing or phoning us. Depending on why you get in touch, that can include:

  • Your name, email address and phone number.
  • If you are a candidate: your CV and the information in it — qualifications, registration details (for example your Irish Medical Council or NMBI number), employment history, specialty, grade, right-to-work status, references and the locations and types of work you are looking for. Recruitment in healthcare also requires vetting documents, such as Garda vetting and occupational health clearance, which we will ask you for separately when a placement is being arranged.
  • If you are a client: your name, role, organisation and work contact details, and the details of the vacancy or staffing requirement.
  • The content of your emails and calls with us.

Information collected automatically

When you visit the site, our hosting provider records standard server logs (IP address, browser type, pages requested, date and time) for security and to keep the site running. With your consent, we also use Google Analytics 4 to understand how the site is used — which pages are visited, roughly where visitors come from and which device they use. This is set out in our Cookies page, where you can also change your choice at any time.

How we use it, and our lawful basis

We use personal information for the following purposes:

  • To find and arrange work for candidates — matching you to vacancies, putting you forward to clients, arranging interviews and placements, and completing the compliance checks that healthcare employers require. Our lawful basis is that this is necessary to take steps at your request before entering into a contract, and our legitimate interest in running a recruitment business. Where we process special category data (for example occupational health information), we do so with your explicit consent or where employment law requires it.
  • To fill vacancies for clients — recording your requirements and sending you suitable candidates. Our lawful basis is the performance of our contract with your organisation and our legitimate interest in providing our service.
  • To keep in touch — telling candidates about roles that match their registered interests and answering enquiries. You can ask us to stop at any time.
  • To run and protect the website — server logs are processed on the basis of our legitimate interest in security; analytics only run with your consent.
  • To meet our legal obligations — including record-keeping required of employment agencies and healthcare staffing suppliers.

We do not sell personal information, and we do not use it for automated decision-making.

Who we share it with

  • Prospective employers. We share a candidate's CV and relevant details with a hospital, practice, trust or care provider only when putting that candidate forward for a specific role, and we tell you before we do.
  • Regulators, vetting and compliance bodies where a placement requires it — for example confirming professional registration or processing Garda vetting.
  • Service providers who help us run the business and the website: our email and office systems, our website host (Vercel) and, with your consent, Google Analytics. They act on our instructions and are bound by data-processing terms.
  • Professional advisers and authorities where the law requires it.

International transfers

We work with clients in Ireland and the United Kingdom, and from time to time with employers further afield, such as the Gulf region. Where a candidate asks us to put them forward for a role outside the European Economic Area, their information is transferred to that employer for that purpose, at their request. Our service providers may process data outside the EEA; where they do, the transfer is covered by an adequacy decision or by the European Commission's standard contractual clauses.

How long we keep it

  • Candidates: we keep your CV and profile for as long as you want us to look for work for you, and review it every two years. If you have not been placed or in contact in that time we will check whether you want to stay registered, and delete your details if not. Records relating to a placement are kept for the period required by employment and tax law after the placement ends.
  • Clients: for the life of our relationship with your organisation and the statutory retention period after it.
  • Enquiries that do not lead to anything further: up to twelve months.
  • Website logs and analytics: server logs are short-lived; Google Analytics data is retained for the period set in our analytics account, which does not exceed fourteen months.

Your rights

Under data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • have inaccurate information corrected;
  • have your information deleted, where there is no good reason for us to keep it;
  • restrict or object to our processing of it, including for direct marketing;
  • receive the information you gave us in a portable format;
  • withdraw consent at any time, where consent is the basis for our processing.

To exercise any of these rights, email info@inspiremedical.ie. We will respond within one month. If you are not satisfied with how we handle your information, you can complain to the Data Protection Commission at dataprotection.ie, or, if you are in the United Kingdom, to the Information Commissioner's Office at ico.org.uk.

Security

We keep personal information on access-controlled systems, limit it to the people who need it to do their jobs, and send candidate details to clients only through secure channels. No transmission over the internet is completely secure, so please do not send us more than we need; in particular, do not email us medical or financial information unless we have asked for it as part of a placement.

Cookies

The site uses a small number of cookies: a consent record, and Google Analytics cookies that are only set if you agree to them. What they are, how long they last and how to change your choice are set out on our Cookies page.

Changes to this policy

We will update this page when our practices change and show the date of the latest version at the top. This version is dated 10 September 2026.
